Accounts Assistants (LXG0009)

Our Account Assistants play a vital role in supporting financial operations, handling tasks such as invoicing, reconciliations, and data entry. With attention to detail and organizational skills, they contribute to maintaining accurate financial records and supporting the broader accounting team.

DUTIES AND RESPONSIBILITIES

  • Issue purchase orders
  • Receive invoices from suppliers and check with purchase order
  • Check and analyse invoice to ensure the invoice is entered in the relevant company and is coded to the right account
  • Process payment in Xero and upload batch file in CBA for approval
  • Manage and pay monthly recurring invoices and company subscriptions renewal
  • Make sure expenses are entered in Xero.
  • Top-up and reconciliation of company debit cards
  • 3 ways reconciliation of Debit Cards, Xero and Clarizen to ensure all card expenses are entered in the systems
  • Employee expenses reimbursement
  • Produce Timekeeping report from Clarizen
  • Liaise with the suppliers regarding billing issues
  • Answer accounts payable queries from the team
  • Other Ad hoc duties

QUALIFICATIONS

  • Completed a Bachelor of Commerce degree (or equivalent).
  • Preference will be given to staff enrolled with a CA/CPA Program.
  • 4+ years’ experience working in an accounting role with accounts payable experience
  • Clear concepts on Fundamental Accounting Principals, Chart of Accounts and Debit / Credits.
  • Aptitude for numbers and quantitative skills
  • Ability to utilise accounting software programs, preferably previous experience with Xero accounting software and Unleashed inventory management software
  • Advanced Excel skills (familiarity with functions like VLOOKUP’s, SUMIFS)
  • Strong numerical and IT skills
  • Has the ability and willingness to learn new systems and tools, as needed
  • Flexibility in working hours (early morning starts required).
  • High attention to detail and able to work quickly and accurately to tight time schedules
  • Demonstrated analytical skills, accuracy and attention to detail.
  • Strong problem-solving skills
  • Willing to learn and be keen and committed in a working environment
  • Ability to thrive in a fast-paced environment
  • Must be fluent in spoken and written English.
  • Excellent interpersonal and communication skills, able to work effectively in a team environment
  • Be available and responsive via email, Slack and phone
  • Comfortable communicating with clients and external stakeholders
