Our Events and Admin Coordinator organizes and manages events, ensuring all logistical details are handled smoothly. They also provide administrative support, managing schedules, communications, and office operations to enhance overall efficiency.
DUTIES AND RESPONSIBILITIES
Key Responsibilities
1. Event Coordination:
• Plan, organise, and execute various events, including meetings, conferences, Forums
• Coordinate logistics such as venue, catering, materials preparation, and post-event follow-up.
• Collaborate with internal teams and external vendors to ensure seamless event execution.
• Experience with Humanitix
2. Administrative Support:
• Provide general administrative support to the organisation, including but not limited to handling correspondence, scheduling appointments and managing inboxes and calendars
• Assist in the preparation of templates, presentations, reports, excel files and other documentation as required.
• Maintain organised and up-to-date files, documents and databases.
• Manage customer database (Salesforce) and ensure data accuracy for targeted marketing efforts.
• Coordinate with the internal team to gather content and ensure consistency in messaging.
• Act as a point of contact for event-related inquiries, both internally and externally.
• Communicate effectively with events coordinator, team members, vendors and members to ensure a clear understanding of expectations and requirements.
• Assist in the collection, organisation and analysis of marketing data (surveys via-survey monkey) to support decision-making processes.
• Support the creation and distribution of marketing materials, including brochures, presentations (Canva and MS PowerPoint) and promotional content (Canva).
• Open to learning new digital tools.
3. Problem Solving:
• Anticipate and address any issues or challenges that may arise, providing quick and effective solutions.
QUALIFICATIONS
• Bachelor’s degree in business administration, event management, business marketing, or a related field.
• Proven experience in event planning and general administration.
• Strong organizational and time-management skills.
• Proficient in Microsoft Office Suite and event management software Humanitix, proficient or some experience with Canva, ADOBE Editor
• Experience in CRM use i.e. Salesforce (updating database); Survey Monkey
• Ability to work independently and collaboratively in a small team environment.
• Detail-oriented with a focus on accuracy and quality
• Strong English communication skills (verbal and written)
• Ability to take direction and ask questions from various line managers
• Ability to handle multiple tasks simultaneously
• Professional demeanor and strong interpersonal skills.
