We are seeking an Executive Assistant to manage projects, suppliers, reports, and stakeholder communication while supporting daily operations.
DUTIES AND RESPONSIBILITIES
- Project Coordination:
- Maintain and update task spreadsheets for tracking project activities.
- Provide context-based updates and manage task prioritisation with minimal supervision.
- Desktop Research:
- Identify suppliers, parts, and installation methods for sensor equipment.
- Gather and organise technical data for decision-making.
- Supplier and Fabricator Liaison:
- Communicate with local Australian fabricators and suppliers to ensure timely and accurate procurement.
- Manage relationships and follow up on orders and queries.
- Data Management and Reporting:
- Generate daily reports from CRM dashboards (HubSpot).
- Monitor project metrics and provide actionable insights.
- Stakeholder Communication:
- Facilitate seamless communication with internal teams for project updates.
- Serve as the central point of contact for project queries and progress tracking.
- Operational Support:
- Handle online ordering, tracking, and follow-ups for materials.
- Arrange deliveries, couriers, and food services as needed.
- Adaptability and Records Management:
- Stay up to speed on general project work with concise briefs.
- Maintain thorough records and ensure all follow-ups are executed on time.
