Tender and Quote Coordinators (QP0002)

We are seeking a reliable, detail-oriented professional to assist with the preparation and coordination of quote submissions and tenders across our valuation practice.

Key Responsibilities:

Tender & Quote Management

  • Monitor incoming tender opportunities (government portals, client requests, etc.)
  • Draft quote templates and tender responses using existing formats
  • Work with valuers to gather inputs for scope, timing, and pricing
  • Ensure all quote submissions are completed on time and with correct attachments and formatting
  • Track deadlines and progress using a simple project tracker (e.g. Excel)

Liaison & Coordination

  • Communicate directly with valuers to confirm technical inputs, fees, and proposed timeframes
  • Follow up with valuers or external contacts to ensure required information is received
  • Email draft quotes to valuers for review and approval
  • Submit approved quotes to clients and log details into the internal system

Administrative & Reporting Tasks

  • Maintain a quote/tender register with key details (client, scope, fee, date submitted, outcome)
  • Assist in refining and updating quote/tender templates
  • Periodically review submitted tenders to identify areas for improvement or feedback trends

Qualifications & Skills:

  • Sound written English and strong communication skills
  • Previous experience in admin, executive support, sales coordination, or tender/bid writing preferred
  • Highly organised and able to manage multiple deadlines
  • Proficient in Microsoft Word, Excel, and email tools (Outlook or Gmail)
  • Proactive, responsive, and able to work independently
  • Familiarity with property, construction, or valuation sectors (a plus but not essential)
