Virtual Assistants (Insurance)

Our Virtual Assistants specializing in insurance provide remote administrative support to insurance agents, brokers, and agencies. They handle tasks such as data entry, appointment scheduling, document organization, and client communication, contributing to the smooth operation of insurance-related tasks and customer service.


Main Responsibilities

  • Processing manual schedules
  • Managing team spreadsheets
  • Filing of documents
  • Identifying policies with significant rate increases
  • Remarketing of policies
  • Reporting to ARs and asking questions when needed
  • Creating customer emails using templates
  • Processing of electronic policies
  • Auditing files
  • Auditing renewal outcomes
  • Generating certificates of currency
  • Communicating with insurers for updates on finalised claims
  • Taking meeting minutes and collate key information into advice handbook
  • Email marketing/social media
  • Ad hoc reporting and data entry
  • PA tasks for company director i.e. arranging flights/accommodation
  • Ad hoc tasks as required.

  • Tasks deemed necessary to ensure excellent customer experience as determined by management


  • Excellent Microsoft Word formatting skills
  • Intermediate Microsoft Excel Skills (use of Functions/VLOOKUP/Pivot Tables)
  • Canva Skills
  • Minimum of 2 years’ experience in an administrative position
  • Excellent oral and written communication skills
  • Detail-oriented, always able to provide accurate and high-level quality work
  • Strong organisational, project management and problem-solving skills with implacable multi-tasking abilities
  • Ability to manage multiple priorities while remaining focused on quality and deliver
  • Ability to learn or adapt quickly and can think ahead
  • Experience in a complex and fast-paced SME environment will be highly regarded
  • High level of empathy and mindfulness
  • Can work independently and collaboratively with the team
